The baseline setup

  • A business checking account in the entity's name using the EIN.
  • A separate card used only for business expenses.
  • Bookkeeping software or a consistent monthly reconciliation habit.
  • An owner's-pay routine — a transfer, not a random withdrawal.

Why it matters beyond tidiness

Clean records let you see margin, price accurately, prepare an honest return, and present a credible file when you apply for funding. Reconstructed records rarely do any of those things well.
