Designing a client onboarding workflow that scales

Intake, documents, review, and communication — a repeatable sequence beats heroics every season.

A practice that depends on memory and effort has a ceiling. A practice that runs on a documented sequence can grow without a proportional increase in stress.

The five stages

  • Intake: a structured form that captures the situation before the appointment.
  • Engagement: agreement signed, fees explained, expectations set in writing.
  • Documents: a secure checklist with a single place for uploads.
  • Preparation and review: a second set of eyes before anything is transmitted.
  • Delivery and follow-up: explanation of the return, then a planning touchpoint.

Write it down before you delegate it

You cannot hand off a process that exists only in your head. Documented steps are what make training, quality control, and accountability possible.
